Are you running a real estate business? How is it doing so far? Good if you’re getting more clients at the end of the day. But if you are spending more time doing administrative tasks than meeting with potential clients, then you better hire someone to do the former for you. There are lots of virtual assistants waiting for an opportunity to work in a real estate business; just hire one to work for you even on a part-time basis. But before you do, here are some things that you have to consider before working with a real estate virtual assistant.

First, you have to know what are the tasks that you want to delegate to your virtual assistant. Do you want your VA to concentrate on doing reports and presentations for clients? Or do you want to extend his/her roles to answering calls and emails, writing business correspondents, and organizing files? Try to make an outline of the tasks that you want to hand over before you contact VA applicants. This will make the hiring process easier for you.

Second, you have to know the time when you want your real estate virtual assistant to be available. Is it in the morning, at noontime, or in the afternoon? Think about when your biggest needs for administrative tasks to be done so when you conduct interviews, you can ask your applicants if they will be available during such time.

Third, ask yourself, “What computer software do I use for my real estate business? And what are the communication tools most convenient for me?” A real estate virtual assistant will be working with you computer-based, so it is important that he/she knows how to use the communication tool that you use like Skype or Yahoo Messenger. Nothing can be frustrating than to work with a virtual assistant who doesn’t know a single thing about communicating online. So make sure that he/she is familiar with this. Aside from that, the VA that you hire should also know the software programs that you often use for your business like Microsoft Office. It will be time consuming on your part if you still have to train your VA how to use such software.
And lastly, know how much you are willing to pay for your virtual assistant. You have to note that rates of VAs vary, so before you contact potential applicants, better set the price right. When setting the price, you have to remember that a good, reliable, and experienced VA will usually charge high. So, if you are willing to pay as high as $25/hr, then you are most likely to get a good virtual assistant at that. But below that, forget it.

The success of your real estate business depends on many factors, but the most important is the time you allocate for making sales calls and contacting clients. How will you do that if you are spending more time completing administrative tasks? So before your real estate business fail, better partner with a real estate virtual assistant fast!

When you run a business, you think of ways to cut on cost as much as possible. It is because the less cost you incur, the higher the profit it is for your business. However, when you observe such measure, make sure that you are still on the right track of your business, or else it could be the main reason of incurring more costs in the future. Just like when hiring virtual assistants. True, you can save a lot, time- and money-wise, from hiring a VA; but then again you have to see to it that the one you hire can deliver effective and efficient results. So, to get a reliable VA for your business, here are some helpful tips for you.

1. Look for a virtual assistant that has good communication skills. One of the tasks that you will delegate to your VA is to communicate with clients either by email, call, or chat. So, you have to make sure that he/she can communicate fluently in English. To determine this, better conduct interviews over the phone or via the Internet like in Skype and correspond a few times by email and chat to test his/her ability to speak and write English with few or no grammatical errors.

2. Look for a virtual assistant with multiple skill sets. Don’t settle on a VA with only one or two skills, like being a computer literate and can speak English well. Working as a VA should go beyond that. He or she should also have the ability to type fast, proofread, compose letters and articles, use necessary business software like Microsoft Excel and Powerpoint, and engage in Social Media marketing. So, before you hire one, make sure that you are able to determine these skills from your short listed applicants.

3. Look for a virtual assistant that has the right tools for the job. Computer, updated software programs, and other tools that your business uses are some of the things that your hired VA should have and be familiar with. Applicants who already have and know how to use these tools have the edge to get the job. But, if you are willing to teach them, then you can consider conducting a training during their first few days as VA.

4. Look for a virtual assistant that is connected with a BPO company. BPO, or business process outsourcing, companies are very rampant these days. Now, if you want to hire a VA, it is better to find one that works with a BPO company than as a solo entrepreneur. Why? Because most BPO companies have QA (quality assurance) measures to guarantee the services that their VAs render so you will be satisfied with the results.

Hiring a virtual assistant can really help your business cut on cost. But to successfully achieve the results you wanted from your VA, you have to make sure that you find a reliable VA at that. Now, keep these helpful tips in mind to get you on the right track.

If you are looking to save money and thinking about using a business outsourcing company for your telemarketing or your technical support needs, you must consider the communication issues that might arise with outsourcing.

Many times when people call a customer service or call center for assistance with their account information for a company they complain because there is a language barrier and it is hard to understand what the people are saying.

If you are considering hiring a company for your outsourcing needs, you should ensure that the customer service representative’s first spoken language is of the customers who will be calling.

If it is not, it should be guaranteed to you that the representatives will be able to speak your language well enough to understand them.

One way to guarantee the language barrier will not exist with the customer service representatives from the outsourcing company you are hiring is for you and other team members to make phone calls to the representatives who will be representing you.

This way, you and your team members can speak to the individuals and verify if their spoken language is good enough for your customers.

Most communications problems with call centers and customer service representatives occur from using offshore outsourcing groups.

Business outsourcing can save your company a lot of money. However, it is for you to decide which is more important, your customer satisfaction with your customer service and support or the amount of money you are saving through your outsourcing endeavors.

You may find your customer count goes down once you begin outsourcing your customer service needs.

When you decide upon business outsourcing for project needs it is important to verify who the people are who will be working in your business. You should verify the employees as you would your own.

If you run backgrounds tests on your employees, then you should do the same with an outsourcing business’s employees.

It will be hard for you to demand that outsourcing employees agree to a background check or a drug test.

What you can do is use only a company who will provide the proof to you the people are acceptable. You should get a name of every person who will be entering your business working on the project.

Sometimes when there are a lot of people entering the business from an outsourced company it can be confusing who is with the company and who is in the building without authorization.

Be sure you know each employee who works for the outsourced company and provide them with temporary badges to wear. This way, anyone who is not wearing one of the temporary badges can be questioned with reason.

Your employees have a right to feel safe at their place of work. You cannot bring in people who have dangerous backgrounds to work on an outsourced project for you.

You should verify all of the provided information and know every person who will be working on an outsourced project. All of these employees from the business outsourcing company should be properly introduced to your staff so everyone feels comfortable with the people walking through the halls.

Business outsourcing is becoming more and more popular each day. However, you need to be careful when you do decide to hire an outside company for your project.

Some of the problems that may occur is turnover, knowledge, and attitude problems. These can be difficult to handle.

When you hire a business outsourcing company to provide you staff on a temporary basis problems often occur with turnover rates.

Outsourcing companies have a higher turnover rate than most companies and you need to be prepared if you tend to go through employees quickly.

When turnover occurs you have to continue to train them. If you need to pull an employee from their current workload to train a new employee then this can create a problem with that employee getting behind.

Turnover can also cause problems with knowledge of the company. When you have to retrain employees about policies and procedures it might take some time for a new employee to get the hang of things.

Most employers believe it takes approximately two weeks for a new employee to get settled in. However, your customer service may take a hit and you might have customers complaining about your service.

Another thing you need to think about with outsourcing is that the employee is not working for you. Many temporary employees want a full-time job with the company they are working for because they need the benefits.

However, when an employee is not really working for you then they don’t take on the mission and the vision of the company and believe in instilling it.

Often times, you might see outsourced employees not care about the company like they should.

You should ensure all outsourced employees will hold true to the company although they are not really your employee.

When you have poorly defined your contract with a business outsourcing company, the quality of the project may suffer severely.

There are many things you can do to verify the project maintains the expected quality when you are using a company other than yours.

When you define the objectives for the project you want completed they need to be defined clearly and everyone needs to acknowledge and sign off that they agree to them.

You should not forget anything.

Being too picky is better than not being specific enough. By forgetting certain things and not specifying them you are opening a door for poor work to be done.

When this happens, you cannot request it be changed and done a different way because it was not specified in the contract.

What will happen, is that you will have to pay additional money to have things done the way you want because you didn’t properly specify in the contract.

One person should not write the specifications for the project. Projects need to be written by everyone who will be involved and affected by the project.

You need to be sure you don’t miss anything that might cause poor quality with the project. If you need to research equipment and how things are properly done then you should.

Many people can be affected by poor quality in a project such as your employees who are using the equipment.

However, shareholders and stakeholders also have a vested interest that the money being spent on an outsourced project is spent well.

You don’t want to be out of a job because you were not clear about how the project needed to be done and now you have a completed project but it makes your customers very unhappy.

As a business provider you want to ensure all those working for you are supplying the same service. This is so that each time a customer enters your store or place of business they can expect the same service quality.

Not all persons in your business will be the same, but, with training on how to properly ensure a quality of service is incredibly essential.

Training your employees to do more than just take the money and put the purchased items into a bag will have a huge impact on all involved. A well trained employee knows what they are selling/serving they’re able to greet their customers with confidence, and are able to maximize their service potential.

Training can be done as a seminar, manuals they’re required to review, or one-on-one training. Role playing is a great way of managing the way your employees will take care of your customers.

Customer service doesn’t have to be complicated. Let your employees know the value of good service and show them how to; by your example. It’s a skill that develops with time and experience, but, it never hurts to have refresher courses to maintain and/or improve customer services.

Well trained agents will maximize the customer satisfaction scenario keeping them coming back for more.
